Renewal risk signals, with sources

An account review can collect overdue issues, recorded commitments, upcoming renewal dates and recent correspondence. These are prompts for a conversation, not proof of churn. A shorter reply might reflect a busy customer; a missed meeting might have been rearranged outside the connected calendar. The account lead needs the underlying evidence and its limits.

Prepare a renewal follow-up plan

A review plan should state the concern, its evidence, the questions to ask and proposed next steps with owners. A pilot might begin when an account lead selects an approaching renewal. The workflow gathers only the agreed account material and prepares a note for the lead to edit.

  1. Choose the account

    Confirm the account identifier, review period and authorised reviewer.

  2. Assemble the record

    Collect the agreed issues, commitments and correspondence, with their dates.

  3. Draft the plan

    Separate observed facts, possible interpretations and proposed follow-up.

  4. Review the next step

    The account lead decides which concerns are real and who should contact the customer.

For example, two unresolved support requests and an approaching renewal may justify a service review. They do not justify a claim that the account will cancel. Any concession, delivery promise or customer message remains a decision for the authorised team.

Prepare the monthly client report

A reporting workflow can assemble delivered work, agreed metrics, open issues and next steps in the client's format. The reviewer should be able to trace important statements to the relevant record. Missing results should be shown as missing, and a previous month's narrative should not be carried forward as if it were current.

Check that reporting periods and definitions match. A metric described as completed work may include items still awaiting acceptance. Agree the definition with the client team before writing the report. Campaign reporting has additional measurement considerations covered on the agency page.

Prepare a quarterly business review

A quarterly business review brings together what was agreed, what was delivered and what remains open. A useful preparation brief can organise those questions without deciding how the relationship should be managed. The account lead still supplies context from conversations that are not recorded.

Start with questions such as: which commitments from the last review have evidence of completion; which need an owner; and which facts contradict the planned narrative?   • Judging the relationship and deciding whether a concern warrants escalation.
  • Verifying that the draft uses the right customer's records.
  • Making commitments, concessions and changes to commercial terms.
  • Approving customer communications and deciding the right channel.
  • Correcting the source record when an issue or commitment is out of date.

Client separation is an access requirement, not just a writing instruction. Retrieval, storage and the review interface should be checked with records from different accounts and with users who should be denied access. Agree these controls through the security review.

Questions account leaders ask

Does this predict which customers will leave?

The proposed workflow prepares evidence for an account review. Predictive scoring would be a separate task needing suitable historical data and validation; a review note should not be presented as a validated churn forecast.

Can we include WhatsApp conversations?

We first assess an authorised way to provide the relevant records. A personal or group chat is not assumed to be available through an automatic connection.

How do we measure a pilot?

Track preparation time, factual corrections, missing commitments and whether reviewers find the note useful. Separate those measures from renewal outcomes, which depend on the wider relationship.

Can it work with our current account tools?

We check the exports, interfaces and permissions those tools provide. Existing reporting or account-health features may already solve part of the task.
