Connect the work behind the guest experience
A maintenance issue may appear in a shift log, the contractor's history in email and the room's status in the property management system. The duty manager needs those records together before deciding what to do. A workflow can prepare the review and identify the gaps that still need a call or an inspection.
This page covers administrative operations for hotels, serviced apartments, caterers and café or bar groups. Restaurant chains have their own examples. The first scope should name one task and its owner, rather than trying to automate every property function at once.
Assess the property records

We confirm the available exports or interfaces for the actual systems in use. Messages may be provided through an agreed process where authorised; a group chat is not assumed to be automatically connected. Guest details should be included only when necessary for the selected task.
Prepare maintenance, purchase and reporting reviews
For an illustrative maintenance task, a room's air-conditioning fault is reported before a booking later that day. A review brief could collect the fault, previous work and the latest available room status. The manager must confirm the current position before authorising a contractor or changing a guest arrangement.

Match the fault to the correct property, room and reporting time.

Collect the relevant history and current records, marking stale or missing inputs.

Summarise the issue, unanswered questions and a proposed follow-up.

The duty manager checks the evidence and assigns or authorises the next step.
A purchase-review workflow can similarly assemble a request and its supporting quote. An owner report can bring together agreed operating figures and open issues. Each needs its own definition of completion and review responsibility; a maintenance summary does not establish that a physical fault has been fixed.
Multi-property visibility for the owner
An owner report should use consistent periods and metric definitions across properties. Explain missing data and separate completed work from open requests. A property with a late export should be shown as incomplete, not silently treated as having no activity.
Existing PMS or BI reporting may already answer the question. Additional work is useful where the owner still needs to combine the report with maintenance, purchasing or handover records. The dashboard comparison explains how to assess that gap.
Agree owner and operator access
An owner and operator may be separate organisations. Specify which properties and records each role may access, and which outputs can be shared. Reviewers need the evidence necessary for their task without automatically receiving unrelated guest or employee information.
For actions beyond preparing a draft, agree who may authorise them and how the workflow verifies that authority. Record the approved output and the action result. Test a rejected request, changed room status and duplicate submission before allowing consequential updates. See security and governance.

Can this work with our PMS?
We need to inspect the relevant export or documented interface and the permissions available to your account. A PMS name alone does not confirm the needed fields or update frequency.
Can it contact guests or move bookings?
Those actions are not part of the review examples described here. A customer-facing workflow would need a separate scope, current records and tested approval and access controls.
What should we measure?
Track preparation and review time, missed issues, factual corrections and whether the responsible manager completed the follow-up. Keep those measures separate from room revenue or guest satisfaction claims.
