# Privacy Policy — Genaima Last updated: September 13, 2026 ## Who we are Genaima AI Ltd ("Genaima", "we") operates genaima.ai, the Genaima AI website, and is the data controller for the information described in this policy. We are a company registered in England & Wales (company no. 17138081) with our registered office at 41 The Warren, Hounslow, TW5 0JW, United Kingdom. For anything in this policy, contact us at hello@genaima.ai. ## What we collect We collect the information you submit through our enquiry or callback form. Enquiries require your name, work email, company and answers to the three discovery questions. Callback requests require your name, work email, company, phone number, preferred callback time and a description of your challenge. The site creates no accounts. Like any website, our hosting and security infrastructure receives technical request data such as your IP address, browser user agent, requested URL, and timestamp. We use that data to operate, secure, and troubleshoot the site. If you accept optional cookies and then submit a form, your IP address and user agent are also sent to Meta with that conversion (see Advertising below). They are not used for any other purpose, and not shared with anyone else. ## Analytics With your consent, we use Google Analytics 4 to understand, in aggregate, how the site is used — which pages are visited, roughly where visitors come from, and whether the contact forms are working. Analytics cookies are set only if you accept them through the cookie banner; decline and the site works identically. You can change your choice at any time via "Cookie preferences" in the footer. When enabled, it sets cookies on your browser and sends usage data to Google, which processes it on our behalf; Google Analytics 4 does not log or store visitor IP addresses. We send Google Analytics no names or emails, and form contents never reach it. You can opt out with Google's browser add-on (https://tools.google.com/dlpage/gaoptout) or by blocking the analytics script — the site works identically without it. See Google's privacy policy (https://policies.google.com/privacy) for how Google handles this data. ## Advertising With the same consent, we use the Meta pixel to measure how our Facebook and Instagram ads perform. Decline the cookie banner and it is never loaded at all; accept, and it sets cookies and reports page views to Meta. The same "Cookie preferences" link in the footer changes your choice at any time. If you go on to submit a form, we also send Meta a copy of that conversion from our server, so it is still counted when the browser request is blocked. That copy identifies you by your email address and name in irreversibly hashed form (SHA-256): Meta can compare the hashes against its own accounts, but cannot read the original values out of them. Alongside those hashes it carries your IP address, your browser user agent, the Meta cookie values described above and the page you submitted from — these are sent as-is, not hashed, because Meta matches on them directly. Nothing else you typed into the form is included, and nothing at all is sent if you declined. See Meta's privacy policy (https://www.facebook.com/privacy/policy/) for how Meta handles this data. ## How we use it Form submissions are delivered as email to our team inbox (hello@genaima.ai) through Microsoft 365, which acts as our email processor. We use them solely to respond to your enquiry. We never sell your information. The one way it is shared for marketing is the hashed-conversion copy sent to Meta described above, and only with your consent. ## Where it lives The site runs on Amazon Web Services in the European Union (Stockholm, Sweden). AWS is our hosting provider and receives the operational request data described above in order to serve the site, and keeps short-lived request logs for that purpose. Emails live in our Microsoft 365 tenant. If delivery fails, application logs record the technical error — not the contents of your submission. If something on the site breaks, a technical error report — the failing page or request, browser type, and stack trace, never form contents — is sent to Sentry, our error-monitoring processor, and stored in the European Union (Germany). Error monitoring sets no cookies. ## Retention We keep submissions for as long as needed to handle your enquiry. Ask us to delete yours at any time and we will. Operational request logs are retained according to our infrastructure log-rotation settings and as needed to investigate reliability or security incidents. ## Your rights You can request access to, correction of, or deletion of the information you sent us, object to or restrict our use of it, and ask for a copy in a portable format. Email hello@genaima.ai and we'll act on it promptly.
